Planner IQ Privacy Policy

Planner IQ is a client optimized for Microsoft Planner within Microsoft 365, Microsoft Teams, and Outlook. It allows you to access, edit, create, and sync data from the corresponding Microsoft services.

Information Planner IQ Collects and Stores
Planner IQ does not collect any personal information for its own purposes, nor does it send any personal data to any external of Microsoft’s cloud that is required to provide the functionality you request.

- Authentication & access tokens. Your Microsoft 365 credentials are never seen by us. Authentication is handled by Microsoft. Any access tokens or refresh     tokens issued by Microsoft to enable Planner IQ to function are stored     locally on your device or within the host application’s secure storage and     are used solely to access Microsoft services on your behalf.

- Configuration data. If applicable, tenant- or service-specific endpoints and your app preferences (e.g., last selected plan/board, filters, or view     settings) are stored locally to improve your experience.

- No analytics or tracking. Planner IQ does not include third‑party analytics, advertising SDKs, or trackers.

- AI feature inputs and outputs. If you use Planner IQ’s optional AI-powered features, Planner IQ may process text, task content, prompts, instructions, and AI-generated responses as needed to provide those features.

AI Features and Azure OpenAI Processing
Planner IQ includes optional AI-powered features. When you use these features, the content you choose to submit to the feature may be transmitted to and processed by Microsoft Azure services, including Azure OpenAI Service, solely for the purpose of providing the AI functionality you request.Such content may include, for example:- task titles, descriptions, notes, or plan content;
- text you enter into prompts or instructions;
- contextual text necessary to generate a response, summary, suggestion, or other AI-assisted output; and
- AI-generated outputs returned to you within the app.Planner IQ uses Azure OpenAI as a service provider/processor to generate requested AI outputs. Planner IQ does not use your Microsoft 365 content, prompts, or completions to create advertising profiles or for unrelated marketing use.Unless explicitly described for a particular feature, Planner IQ does not maintain a separate long-term repository of prompts or AI outputs on its own backend beyond what is necessary to operate the feature, maintain security, troubleshoot service issues, or comply with legal obligations.Microsoft provides additional information about Azure OpenAI data processing in its documentation:

Third-Party Services
Planner IQ depends on Microsoft services, including Microsoft 365 and, where applicable, Microsoft Azure services such as Azure OpenAI Service, to provide core functionality. Your use of those connected services may also be subject to Microsoft’s applicable terms, privacy statements, and product-specific documentation.

Use of Your Information
Stored configuration data and, where applicable, access tokens are used exclusively to: establish a secure connection to Microsoft 365 services; synchronize your data during online mode; and maintain your selected preferences across sessions. Planner IQ does not build user profiles or share your data for marketing purposes.

Security of Data
Planner IQ is network‑capable and connects to Microsoft 365services via secure web protocols. All local data is protected by the host platform’s secure storage mechanisms. Where an application datastore is used, it is encrypted using an application key that is randomly generated at first run and protected by your device or account security (e.g., system keychain, OS‑level encryption, or password/PIN/biometric safeguards).

Data Retention
Planner IQ retains only locally stored configuration data and tokens necessary for operation. You can delete this data at any time by signing out and/or uninstalling the app or add‑in, which removes local storage and requires fresh authentication the next time you sign in.

Data Sharing and Transfers
Planner IQ does not sell, rent, or trade personal data. Dataflows only between your device and Microsoft 365 services as needed to provide functionality you initiate (for example, viewing or updating Planner tasks). We do not operate a separate backend that stores your Microsoft 365 content.

Children’s Privacy
Planner IQ is intended for business and productivity use within Microsoft 365. It is not directed to children and does not knowingly collect personal information from children.

Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page, and the “Effective date” above will be updated.
